How It Works

When email is sent, it goes to the recipient's SMTP (Simple Mail Transfer Protocol) server where it is stored. When the recipient's email program retrieves the mail, the SMTP server sends all the messages being held. After the messages are sent the SMTP server deletes the mail.

Most email software can be set to check new mail automatically every few minutes and notify you when mail arrives.


Mail Delivery Problems

Occasionally an email is delayed or delivery fails all together. When an email message is delayed you will receive a message that your SMTP server has not been able to deliver for a period of time (which varies) but is still trying. When delivery fails th e message will be returned as undeliverable. This can happen for several reasons.
  1. The address in invalid.

  2. The email address doesn't exist.

  3. The recipients mail server is down.

E-Mail Addresses

Email addresses are based upon the domain name system used by the World Wide Web. The email address is made up of the following:

username @ domain name . domain

(Note: exact email addressing schemes vary from provider to provider)


Writing an Email Message

In every email program there are a number of standard fields to fill out.

 

To: Place the exact e-mail address where you want the message delivered here.
Subject: Enter the subject of the e-mail here
CC: Enter any additional addresses to which you would like the e-mail delivered here
Message: This is where you type your message.
Attachment: If you would like to attach a file to the message, click the attachment button and select the file you would like to send.


Options for Sending E-Mail

 

E-mail programs usually give you a few options for sending mail.

Send Immediately sends your message.
Queue Queue all messages so you can send them all at once. This option allows you to work off-line and only connect to send your mail.
Reply If you would like to send a reply to the sender of a message you received.
Forward This allows you to send a message you received to another individual.


Software

The latest version of Microsoft Internet Explorer has bundled an e-mail program with it's web browser. Outlook express features a clean, easy to use interface for handling your e-mail. To start Outlook express from Internet Explorer, either click the M ail button or click Go and select Read Mail from the drop down menu.
